Frequently Asked Questions & Policies

  • Submit a booking inquiry and complete the questionnaire. After initial consultation, a proposal and contract will be drafted and sent to client for review and signature. Once the contract is verified, we will require a 50% non-refundable retainer deposit to confirm the booking. The remaining 50% balance is payable 72 hours (3 days) prior to your event. PLEASE NOTE: Unpaid balances will require cancellation. Until the retainer deposit has been received, WPP reserves the right to liaise with other clients for the same date and equipment. Please check before paying the deposit to ensure the desired event date is still available. By paying the retainer deposit and returning the signed contract, the client understands and agrees to the terms and conditions of hire, as described herein.

  • Generally, two weeks in advance is sufficient, but clients may book up to two months in advance. Picnics scheduled in a public park require two weeks in advance to obtain permits, and are subject to park availability and approval from the city. Clients will obtain their own permits for use of public space. For any picnic scheduled at one of our venue partner locations, as much advanced notice as possible is required and is subject to availability. Coordination with food/beverage vendors is available for a fee (clients pay vendor/s directly for goods), but is dependent on vendor availability and terms of service. Advance notice is required to ensure we can provide each client with the best picnic experience, but WPP is happy to try to accommodate clients that have extenuating circumstances.

  • We DO NOT provide food/beverages. Clients may opt to bring their own food or utilize the services of vendors. While WPP does not provide food, we can happily recommend local caterers and food vendors and can coordinate food/beverage pick-up, delivery, and set up for an additional fee.
    WPP is not licensed to provide alcoholic beverages, but if the chosen location allows alcohol, the client may bring their own. Please be advised that alcohol is not allowed in city parks or on public land without a proper permit. Client will assume the responsibility and risk of the use of alcohol, and is responsible for obtaining an alcohol permit. Permits may require a minimum of two weeks for the approval process. Please drink responsibly and conduct yourself in a respectful manner when utilizing a public space.

  • Picnic packages include;

    • Hand-crafted, low-profile picnic table(s) with table runner*

    • Assortment of plush throw pillows and cushions
    • Basic bud vases with fresh or dried florals
    • LED candles, candlestick holders
    • Charger plates, dinnerware, flatware, glassware*
    • Linen or cotton napkins
    • Bluetooth Speaker
    • Wastebasket
    • Delivery, set-up, breakdown, clean-up

  • WPP offers services throughout southwest Montana, from Bozeman to Belgrade, Big Sky, and Livingston and surrounding areas. Client will incur travel fees for picnics scheduled 10 miles outside of Bozeman area.

    WPP can set-up in any location of your choosing, from public parks to your very own back yard or property! Clients will be responsible for securing location, however, WPP can assist with scouting locations as needed. Ask about our venue collaborator! Client will be responsible for obtaining proper permit if necessary.

  • They say in Montana if you don’t like the weather, wait a few minutes. Weather in Montana is unpredictable, especially in summer months. Please monitor weather patterns and environmental conditions and communicate any changes 24 hours prior to scheduled event. Please have an alternate plan to move your picnic indoors (location to be secured by client). Otherwise, the picnic can be rescheduled for a later date, and the deposit will be held for a new date. Full refunds will not be issued for any event impacted by weather and/or adverse conditions, such as wildfire smoke.

  • Yes! Please choose extra time as an add-on during the booking process. Otherwise, if additional time is being requested the day of your event, please contact us as soon as possible to see if we can accommodate the request. The client will incur an additional fee for extra time.

  • No refunds will be issued if cancellation occurs within one week of your scheduled picnic. We understand that unforeseen circumstances may arise; therefore, we are happy to work with the client to reschedule.

  • If picnic is impacted by weather or adverse conditions, WPP will allow the client to reschedule and will transfer the deposit to the new date. If picnic needs to be rescheduled for any other reason, a one-time date change will be honored.

  • Absolutely! If none of the existing color palettes within our inventory fit the client’s needs, we can work with the client to procure the preferred items. Please be advised that customizations will require additional fees. We also provide elegant tablescaping for regular sized table events.

  • If a client needs to leave the event earlier than the scheduled end time, please contact us as soon as possible so that we can return to the site. The client is responsible for ALL equipment for the duration of the reservation time, or until we return; WPP property cannot be left unattended at any time.
    If clients arrive later than 30 minutes without prior notice, WPP will cancel the picnic and no refund will be issued. Please be considerate of our time as we may have multiple clients scheduled on the same day.

  • In the event that an item/s are damaged, a replacement fee may be issued to the payment method on file. If inventory is found to be missing or unaccounted for, client will be charged for item/s.

  • The client assumes all liability for invited guests. WPP will not be liable for guests and their actions. All clients and guests must adhere to local park rules and regulations, including but not limited to, no open container (unless permit has been obtained), no open flame, and no use of stakes. WPP assumes no liability if fines are issued for not adhering to regulations, or in the case of injury.

  • We do not permit smoking or vaping on or near event product, nor is smoking/vaping allowed on the premises of partnered venue locations.

  • We take great care in ensuring the health and well-being of our guests. All items in contact with food and beverage are washed and sanitized after each event. All blankets and pillows are washed and/or disinfected after each use. Gloves are worn during set-up to ensure items remain sanitized.
